This policy describes how Neat Mail AI (“the App”) handles information on your device.
This Privacy Policy applies to the Neat Mail AI desktop application for Windows distributed by CoolLeGet Inc (“we,” “us”) and product information published on coolleget.com, unless a separate agreement states otherwise. The App may also be described on partner sites (for example the Microsoft Store or software directories); where those descriptions conflict with this page for privacy matters, this policy prevails for our responsibilities as publisher.
1. Summary
Neat Mail AI is a local-first email client. It connects to your mail providers using industry-standard protocols (for example IMAP/SMTP) or provider sign-in (for example OAuth). Mail content and credentials are processed primarily on your Windows PC. We do not operate your mailbox as a cloud service.
2. Information the App processes
Depending on how you configure the App, it may process categories such as:
- Account and connection data — email addresses, server hostnames, ports, authentication tokens or passwords you enter, and diagnostic messages you choose to view (for example connection test results).
- Email content and metadata — messages, attachments, headers, and folder structure synchronized between your providers and local storage on your device.
- Application settings — preferences you set inside the App (for example display theme, reading layout, notification choices).
- Optional AI-related requests — if you use AI-assisted features, text you submit may be sent to the AI endpoint you configure (for example your organization’s API or a third-party model provider). We do not control those providers’ privacy practices.
3. Where data is stored
By default, mail caches, local databases, and related files reside on your device under the application’s data locations. Sensitive secrets may be protected using Windows Data Protection API (DPAPI) or comparable OS mechanisms where applicable.
Data is transmitted between your PC and your email providers (and any AI endpoint you configure) over the network using the protocols and encryption options supported by those services.
4. Third-party services
The App does not replace your relationship with:
- Your email or identity provider (for example Microsoft, Google, or your employer’s mail system);
- Microsoft as the platform vendor (Windows, Microsoft Store, WebView2 runtime, and related components);
- Any AI or cloud service you explicitly configure for optional features.
Each provider’s own privacy policy governs data they process on their systems.
5. Microsoft Store
If you obtain the App through the Microsoft Store, Microsoft may collect purchase, installation, and diagnostic data according to Microsoft’s privacy statement. We receive limited Store reporting as permitted by Microsoft and do not use it to read your mail.
6. Children
The App is not directed to children under 13 (or the minimum age required in your jurisdiction). Do not use the App to process personal information of children in violation of applicable law.
7. Your choices
- You may remove accounts from the App; this typically deletes local copies and stored credentials on the device while leaving server-side mailboxes under your provider’s control.
- You may uninstall the App; residual files may remain until removed by the system or manually.
- You control whether to enable optional features that call external APIs.
8. Changes to this policy
We may update this page when the App or distribution changes materially. The effective date at the top will be revised when we do. Continued use of the App after an update may constitute acceptance of the revised policy where permitted by law.
